Documents Module – an abreviated how to guide

     I wanted to take a moment to talk a little about the Documents Module of HubEntry.  Document management is a critical part of any business, and it is an integral aspect of your H1B compliance.  The Documents Module of HubEntry was designed to do much more than just hold your employee documents, it was designed to help you stay in complete compliance.

     First off, most software iterations only have receptacles where you can deposit your employee documents and search for them with any filters provided.  HubEntry takes a giant leap forward in giving you quick views, advanced organization, advanced filters, version histories, and even email notifications.  This way you can be more organized and kept up-to-date on the documents in your system.  The more organized you are, the more efficiently your business will operate.

     When organizing your documents within HubEntry, you will notice that the module is a 3 tier system.  First, you have the high level organization labeled “Group.”  You can create new groups to complement those given by default in order to reflect your needs.  For example, we give you a group titled “Immigration Documents,” and you can add a group called “Company Documents.”  Add, change and delete these groups in any way that best suits your business.

     After the group, there is an intermediate level labeled “Category.”  This is another tier that allows you to further organize your documents so you can find them much easier.  For example, if you have a group labeled “Employee Documents,”  you can have a category labeled “Educational Documents” in order to group all of your documents in a way that makes sense for you.

     Finally, the lowest level of detail comes in at the document level.  We provide many templates for you when you sign up for HubEntry, including those for education documents, immigration documents, tax documents, etc.  There is always the ability to add new templates to your system, and depending on how you organize, you can edit any template at will.  But the functionality doesn’t end there.  Within a single document, you can add fields for quick views so you can expand a document (called “show in profile) within the list applet and view pertinent information without having to download anything.  But lets say you need even faster access to certain information; you can add fields to “show in list,” and view information associated with a document right in the list applet.

     And now for the most useful part of the HubEntry document module; the alerts.  In order to keep you up-to-date with your documents, you have the ability to set alerts.  For example, if you need to ensure a passport is updated, an alert can be sent via email as a reminder of the impending date of expiration.

Employee Timesheets and Status Reporting

Today I would like to share a walk through with you.  If you are currently using HubEntry, then I hope this walk through will help enhance your experience with the product and further maximize the benefits you have been enjoying.  If you have yet to sign up and start using HubEntry, then I hope this walk through will show you how we simplify processes, improve efficiency, and address your H1B woes.

The timesheets module may be your most trafficked module within HubEntry.  You and your employees will be constantly using this module, and it serves multiple purposes.  Primarily, your employees will be entering the time, milestones, milestone status, issues, dependencies and achievements, and even attach documents associated with their daily grind.  As an administrator, you can make any or all of these items compulsory for your employees so you can be kept up to date on their progress.

One of the more useful aspects of the timesheet module is the print view.  The print view actually suffices as an employee status report, which is critical to H1B compliance.  The wide range of H1B compliance uses of this application is what truly sets HubEntry apart from the competition.

HubEntry also enables the account administrator to customize the timesheets for individual employees.  This way, you can set the appropriate frequency for each employee so your weekly, bi weekly, semi monthly and monthly time periods are reflected accurately.

User Management

Hello All!

I would like to take this opportunity to talk about adding users into HubEntry.   For each user you input into HubEntry, you can create a custom title, role and permission profile, so they fully reflect their responsibilities within your organization.

When you are adding users into the HubEntry system, you will start by assigning them the correct title.  So if you are adding an engineer, you can label as such.  The same goes for adding a principle consultant or a resource manager.  Once their title is assigned, you need to associate a role with that title.  For instance, if you are entering a Human Resource Manager into HubEntry, you can associate human resource roles, employee roles and system administrator roles so the employee responsibilities are accurately reflected.

Another aspect that is important to address when adding users into HubEntry is their management hierarchy.  Every employee you have is a link in the chain of your business.  Therefore, you can establish a hierarchy when adding users to assign managers, resource managers and reporting employees to each user.  This way every aspect of your business is mirrored within HubEntry.

The final step in the process is to assign a date to that employee.  This date should correspond to the date timesheets need to be generated for this employee.  So if you enter a user who will begin submitting timesheets 2 weeks from now, then set the date to correspond with the first day on their first timesheet.

You can always visit the user management screen in order to modify any user information.  If someone’s title changes, or their management structure changes, you can always go back and change it.  If you add a new title into your organization, it can be added into HubEntry.  This way HubEntry always reflects your organization down to the smallest detail.

Timesheet Tracking with HubEntry

Hello All,

I would like to share some insight with you regarding HubEntry timesheets.  Our timesheet module is a very robust tool that will improve the efficiency of your timesheets process.  As a web-based application, HubEntry enables each of your employees to remotely submit timesheets.  Since each employee is given a unique log in, they can view their own projects and submit their own timesheets no matter where they are.  Similarly, your managers, having the same unique log in, will be able to review employee timesheets and either approve or reject them.  This frees up the process for those who have employees spread across multiple locations.

As for the timesheets themselves, they are extremely detailed.  Employees can enter time per project and milestone, enter milestone status, enter multiple projects/milestones per timesheet, list achievements, identify dependencies, denote issues, and even attach documents.  This allows you to track progress and time for specific milestones, projects, and work orders.  As an administrator, you have a tremendous amount of control.  You can set minimum daily or weekly hours per timesheet, set mandatory fields, and even set timesheet frequency per employee.

One of the most unique and useful parts of HubEntry timesheets is the link between the timesheets and projects modules.  When creating a project you can identify the team members who are to be assigned; which causes that project to show as a selectable option for those team members.  This can save time and effort for both you and your employees; and allows you to track time and progress more accurately.

Oh, and for our customers who utilize the H1B program… Our timesheets were specifically designed to suffice as employee status reports for immigration compliance.

Project Management with HubEntry

Hello All!

All companies have the need to efficiently manage their projects including tracking progress on milestones, tracking employee hours, organizing contracts, etc…  Companies need a tool that can help them improve organization and efficiency; that way there is increased productivity.  HubEntry is a comprehensive business tool that can help companies do just that.

HubEntry has a very detailed project management module that works hand in hand with our work order and timesheet modules.  Having these links saves you time and energy, which can in turn be put towards growing your business.

So let me take a minute to explain how our Projects Module works.

First, you will input all of your contract information, including your work orders, so you can keep on top of your contracts, work orders, customer contacts, etc.  As you are inputting your work orders, you can denote what team members are associated with that work order.  This will allow for that work order to not only pop up while creating your projects, but will tie your projects together with your employee timesheets.

Next you will create your projects.  There is a field in the project creation screen that enables you to select an associated work order.  By selecting a work order, the location, customer and associated team members will auto-populate within the project.  You can then create your milestones and complete the project creation.

Finally, once those team members are selected in the project, that project and associated work orders will become fields in the timesheets for those employees.  When they submit time, it will be for a specific project and milestone so you can keep track of progress and productivity.

The Public Access File

Hello All!

We here at HubEntry wish to help our customers be successful; especially with H1B compliance.  Any H1B employer knows that their responsibilities are rapidly changing and growing with time, and there are more and more agencies enforcing regulations.  All this makes for  a very convoluted system that makes H1B employers’ lives more difficult.

HubEntry strives to make your life easier.  HubEntry streamlines the H1B compliance process and makes it much more manageable.  One such aspect of the immigration compliance modules concerns the Public Access File (PAF.)  Below, we have listed out the requirements involved in a PAF.

-A copy of the certified labor condition application

-Documentation which provides the wage rate to be paid the H-1B nonimmigrant

-A full, clear explanation of the system that the employer used to set the “actual wage” the employer has paid or will pay workers in the occupation for which the H-1B nonimmigrant is sought, including any periodic increases which the system may provide

-A copy of the documentation the employer used to establish the “prevailing wage” for the occupation for which the H-1B nonimmigrant is sought

-A copy of the document(s) with which the employer has satisfied the union/employee notification requirements of 20 CFR §655.734

-A summary of the benefits offered to U.S. workers in the same occupational classifications as H-1B nonimmigrants, a statement as to how any differentiation in benefits is made where not all employees are offered or receive the same benefits (such summary need not include proprietary information such as the costs of the benefits to the employer, or the details of stock options or incentive distributions), and/or, where applicable, a statement that some/all H-1B nonimmigrants are receiving “home country” benefits;

-A summary of the benefits offered to U.S. workers in the same occupational classifications as H-1B nonimmigrants, a statement as to how any differentiation in benefits is made where not all employees are offered or receive the same benefits

-Where the employer utilizes the definition of “single employer” in the IRC, a list of any entities included as part of the single employer in making the determination as to its H-1B-dependency status

-Where the employer is H-1B-dependent and/or a willful violator, and indicates on the LCA(s) that only “exempt” H-1B nonimmigrants will be employed, a list of such “exempt” H-1B nonimmigrants

-Where the employer is H-1B-dependent or a willful violator, a summary of the recruitment methods used and the time frames of recruitment of U.S. workers

Putting all this information together can be time-consuming; but HubEntry makes it simpler.  We pull your LCA information from iCERT and create a simple set of steps for the completion of the LCA, PAF, and notice of posting.  Much of the information needed throughout these steps is auto-populated directly from the LCA, so you are just a few clicks away from having a properly completed LCA and PAF.  Once the PAF has been created, we even generate a document that can be used as the notice of posting.

HubEntry simplifies this process, taking pressure off of H1B employers.
